Standard Room Set-up

Each room will have a standard speaker package of a podium, laptop, microphone, LCD projector and screen, and a head table with 2 microphones and 4 chairs.

If you require any additional AV, please contact  The Society will do its best to accommodate your requests but cannot guarantee that they can fulfill them.

Speaker Ready Room: W183A, McCormick Place West

Check your presentation! We highly recommend that all speakers visit the Speaker Ready room at least 4 hours prior to your scheduled presentation. The computers used in the Speaker Ready room are replicas of the ones used in the meeting rooms. If the presentation works in Speaker Ready, it will work in the meeting room. This is added to ensure that the association is aware of the risks if a person does not validate their presentation with our staff.

Before you Depart for the Meeting:

Important: For profit corporate logos are NOT permitted on PowerPoint slides. Non-for-profit corporations (academic institutions, etc.) logos are permitted.

Submit your presentation in advance. The Society will use a presentation management system. Once available you will receive an email with instructions on how to access the website to pre-load your presentation(s). We strongly recommend that you submit your presentation in advance via the internet. Please bring a backup copy of your presentation along with you. Copy your PowerPoint and all movies to a folder on a USB. PowerPoint does NOT embed movies. They must all be placed in the same folder as your PowerPoint. 

Repeated Sessions. If you are repeating your session twice, i.e. Meet-the-Professor, you are required to upload your presentation twice.

Multiple Presenters. If you are in a session where you will be presenting with another speaker and creating only 1 presentation, collaborate beforehand to finalize your presentation and designate who will upload the presentation to the system. Please share the email address and password with the other speaker(s) in case a last-minute edit needs to be made.

Note: In the case of Master Clinician. Clinical Practice Guidelines, and ESAP sessions, Endocrine Society staff will collaborate and upload the presentations for you.

Using Polling Software (ARS). Please contact if interested in incorporating polling slides into your presentation. The audience will be able to answer the polls from their devices. The Society still will provide more instructions regarding the build of your presentation.

In the Meeting Room:

Please arrive at your session meeting room at least 15 minutes before the start of your session. Take time to familiarize yourself with the setup at the lectern. Located in front of you is a monitor where you can follow your presentation. Simply click your name on the display, then click on the “Start” button.

Your PowerPoint will launch automatically. At the end of your presentation, advance one final time and the display will return to the list of presenters in that session.

Speak directly into the microphone in a normal voice, and do not handle the microphone while speaking. If you would like an additional step to reach the microphone at a comfortable height and to ensure that the audience can see you, please contact Carol Balsamo at

Oral Presenters: Please plan to arrive at your session room 15 minutes early, identify yourself to the Chair(s) as an oral session presenter and sit in the front row of the room. As a reminder, you have 10 minutes to present your abstract, and five minutes to answer questions from the audience.
