Before the Meeting

Creating Presentation Materials

Important Guidelines

  • All speakers must include a Disclosure Slide as the 2nd slide of every presentation. If you do not include this, you will be asked to verbally disclose your status. We have provided a sample Disclosure Slide below.
  • For profit corporate logos are NOT permitted on PowerPoint slides. Non-for-profit corporations (academic institutions, etc.) logos are permitted.
  • It is the speaker’s responsibility to obtain releases for any copyrighted material in their presentations. If there is material in the presentation that you do not wish to be released electronically, please place a dummy slide in its place in the presentation you submit.

Slide Templates

While we do not require their usage, we have provided ENDO 2019 branded PowerPoint templates for your convenience.

To ensure the audience can read all slides, please do not overload slides with text: the Society generally recommends 50 words per slide (max). Also, please be mindful of color and style selections, especially fonts, and use high quality photos if applicable.

Create an Interactive Presentation using our Audience Response System (ARS)

New this year, the Annual Meeting Steering Committee Chairs are strongly encouraging you to incorporate ARS and interactivity into your presentation.

Through our ARS system, you can incorporate:

  • Quiz your audience members with multiple choice questions (MCQs):
    • Example: Cased based MCQs to assess their knowledge and display a correct answer prior to providing your answer rationale.
  • Survey or poll your audience members: gather demographic information to guide your talking points.
    • Example: Ask the audience how many have managements these patients or how confident they are with treating/diagnosing patients with the following disease.
  • Allow your audience to submit questions and to vote for questions for you to answer or address.
  • Competition between participants, i.e. Team Battles:
    • Example: Have groups of individuals select a team and battle for points on a leader board using your MCQs.

When you upload your presentation through our presentation management system, please indicate when prompted that you would like to incorporate polling/ARS and our AV team will program your presentation. Submitting your Presentation Materials

We ask that you submit all presentation materials at least 24 hours in advance.

The Society will use an online presentation management system. Once available you will receive an email with instructions on how to upload your presentation(s). If you are in a repeating session, i.e. Meet-the-Professor, you are required to upload your presentation twice.

Please bring a backup copy of your presentation and any other materials, such as video clips, with you on a USB, placing all materials in a folder marked “ENDO 2019.”

At the Meeting


Standard Meeting Room Set-up

Each room will set-up with our standard speaker package consisting of:

  • One podium
  • One laptop
  • One microphone
  • One LCD projector and screen
  • Head table with two microphones and four chairs

Speaker Ready Room

All speakers should visit the Speaker Ready room at least 4 hours prior to their scheduled presentation. During your visit, familiarize yourself with the setup as it replicates the standard meeting room setup. Computers are available to ensure presentation materials are uploaded and working properly.

  • Friday, March 22: 2:00 PM–6:00 PM
  • Saturday, March 23—Monday, March 25: 6:30 AM–6:00 PM
  • Tuesday, March 26: 6:30 AM–12:30 PM


Instructions for Session Presenters Using PowerPoint

Located in front of the lectern is a monitor where you can follow along with your presentation. Using the mouse, simply click your name on the display, then click on the “Start” button. Your PowerPoint will launch automatically.

If you have any difficulties or need any assistance, click the HELP button and a technician will be immediately sent to your room.

At the end of your presentation, advance one final time and the display will return to the list of presenters in that session.


Instructions for Oral Session Presenters

Identify yourself to the Chair(s) as an oral session presenter and sit in the front row. You will have 10 minutes to present your abstract, and five minutes to answer questions from the audience.
